Position Summary
The File Clerk is responsible for organizing, maintaining, and retrieving company records and documents. This position helps ensure that physical and electronic files are accurate, secure, properly labeled, and easily accessible to authorized employees. The ideal candidate is dependable, organized, detail-oriented, and able to handle confidential information professionally.
Key Responsibilities
- Organize, label, sort, scan, and file company documents and records.
- Maintain accurate physical and electronic filing systems.
- Retrieve files and documents for authorized employees as requested.
- Review documents for completeness, accuracy, and proper classification.
- Enter and update document information in company databases or record-management systems.
- Scan, copy, upload, and archive records according to company procedures.
- Identify and correct misplaced, duplicated, or improperly filed documents.
- Maintain confidential employee, customer, financial, and business records.
- Track files that have been checked out or transferred to another department.
- Prepare older records for archiving, storage, or secure destruction.
- Assist with general administrative duties, including data entry, copying, mailing, and document preparation.
- Maintain a clean, orderly, and efficient records-storage area.
- Follow company record-retention policies and confidentiality requirements.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous clerical, administrative, records-management, or data-entry experience preferred.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Basic computer skills, including experience with email, spreadsheets, word-processing software, and electronic filing systems.
- Ability to alphabetize, categorize, and organize large volumes of information.
- Ability to maintain confidentiality and handle sensitive documents responsibly.
- Strong written and verbal communication skills.
- Ability to work independently and complete repetitive tasks accurately.
- Dependable attendance and a professional attitude.
Physical Requirements
- Ability to sit or stand for extended periods.
- Ability to bend, reach, and access filing cabinets and storage shelves.
- Ability to lift and carry file boxes weighing up to 25 pounds.
- Ability to perform repetitive tasks involving typing, scanning, sorting, and filing.
Work Environment
This position is primarily performed in an office or records-storage environment. The File Clerk may work independently or collaborate with administrative staff and other departments to maintain accurate and accessible company records.
